Case study / Rugeley, Staffordshire

GBPT.
Bookings that look after themselves.

Garth Betteley trains clients one to one at a private studio in Rugeley. He needed more than a brochure: a website where the booking actually happens, without messages back and forth.

The GBPT website homepage

01 / The brief

A trainer, not
a receptionist.

Garth is a WABBA and BAFI qualified personal trainer who previously ran his own gym locally. At his new private studio he wanted to spend his time coaching, not arranging sessions by message, juggling his diary and chasing payments on the day.

The aim was simple to describe: let a client find a time that genuinely works, pay for it, and have it appear in Garth's calendar with an invite, without him lifting a finger.

02 / What was built

One booking flow.
Everything joined up.

The website introduces Garth, the studio and his sessions. Behind it, a booking system ties his calendar, payments and email together.

Live availability

Clients see Garth's real free times, read straight from his Google Calendar. His regular weekly clients and anything else in his diary are blocked out automatically, and Friday slots stop in time for his earlier finish.

Payment at the point of booking

Single sessions or blocks of five and ten, paid through Stripe by card, Apple Pay or Revolut Pay. Packs are booked in full up front. Clients who prefer cash can pay a small deposit online and the balance at the session.

No double bookings

The moment someone heads to checkout, their time is held on the calendar. If they pay, the hold becomes a confirmed session; if they walk away, it is released for the next person.

Confirmation and self-service

Each booking sends a calendar invite and a confirmation email from Garth's own Gmail. A secure link in the invite lets clients move or cancel a session up to 24 hours ahead, with refunds handled automatically.

Follow-up on unfinished bookings

If someone fills in the form and stops at payment, Garth gets an email with their details and the time they wanted, so a near-miss becomes a conversation instead of a lost client.

Private by design

The studio is at Garth's home, so its address only appears on confirmed invites. Anything a client writes about their health is kept out of payment records, and visitor analytics use no cookies.
